You can filter and view timesheets using the Timesheets list. From this list, you can select a particular timesheet to view its details in the Timesheet Details screen and undertake actions against it. For each timesheet you can view various details, including: the timesheet's status, timelogs for each shift worked, pay rates, the expenses associated with each timelog, and the value of the timesheet.
The status of a timesheet is displayed in the Timesheets list. It is also displayed after the timesheet reference at the top of the Timesheet Details screen.
The status of a timesheet varies depending on its current stage within the timesheet process. For example, if the status is Processed, then it has been authorised and marked as processed and it should be paid in the next standard payroll.
During the timesheet process, a candidate’s timesheet status goes through the following statuses:
| Status | Description |
|---|---|
| Open |
Timesheets that have not yet been submitted. Candidate users: You can submit timesheets with a status of Open. NHS organisation users: You can set to Did Not Work for all engagement types for timesheets with a status of Open. Supplier users: You can submit timesheets with a status of Open for your Standard Placement candidates. Liaison users: Timesheets with an Open status contain shifts with confirmed candidates and have an open timelog for each shift. |
| First Stage Auth |
Timesheets that have gone to the NHS organisation for first stage checks, if your NHS organisation uses two-stage authorisation. NHS organisation users: First Stage Authorisers can authorise or dispute timelogs. |
| Final Auth |
Timesheets that are waiting for final authorisation from the NHS organisation. (If your NHS organisation uses two-stage authorisation, then this is the second stage of the authorisation.) NHS organisation users: Final Authorisers can authorise or dispute timelogs. |
| Authorised |
Timesheets that have been authorised by the NHS organisation (whether by one- or two-stage authorisation). |
| Disputed |
Timesheets where the hours submitted have been disputed. For details, see About timelogs. |
| Processed | Timesheets that have been authorised by the NHS organisation and should be paid in the next payroll. (The timesheet has been marked as processed by a payroll user.) |
| Payment Held |
Timesheets where the payment has been marked as held. For example, the candidate has asked for payment to be postponed for a period of time. (The timesheet has been marked as payment held by a payroll user.) |
| Paid |
Timesheets for which the candidate is scheduled to receive payment or has received payment. (The timesheet has been marked as paid by a payroll user.) If the status of the timesheet is Paid, the date given in brackets after the Paid status on the Timesheet Details screen is the date on which payment is scheduled or has been paid. The paid date can be scheduled for up to seven days in the future. |
| Did Not Work |
Timesheets that have been marked as Did Not Work. (Timesheets can be marked as Did Not Work by NHS organisations, suppliers or candidates.)
|
| Void |
Timesheets that have been marked as Void. (Timesheets can be marked as Void by NHS organisations and Liaison Workforce.) NHS organisation and Liaison users: If timesheets have been authorised or raised in error, you can mark these timesheets as Void. If necessary, you can reset the status of a timesheet from Void to Open. |
